Insource, Outsource or Hybrid…

Which mailing solution is right for your business?

Insourcing and outsourcing have traditionally been the only two choices for small businesses, but a combination of both — hybrid mail — is now in the mix. It’s no surprise that there are a lot of factors to consider when determining which mailing option is best for you. You may find that outsourcing can save you tons of time, while insourcing can save you money… or maybe your client prefers a hybrid approach for communications from your company.

Consider the following to help you narrow down which method may be most efficient and cost-effective for your business. Note that the best method for your company can change over time, so you should revisit the subject on a regular basis to ensure you’re staying on the right track.

Insourcing is recommended for smaller jobs that won’t take too much time away from other important business tasks, and are relatively simple to perform. You may also want to think about running your mail in-house when you have special requirements or sensitive mailings to personally ensure that your customer’s needs are met. When kept in-house, you can save significantly on simple tasks that are routinely performed by a staff member as part of his or her core job functions… Just be sure to assess how much space you will need for equipment and mail prep tasks. Taking over an entire conference room each week to prep mail, for example, may not be the best use of the space or employee time.

Outsourcing mail is helpful with larger batches of mailings, and can be useful when your employees do not have the proper training or bandwidth to complete the required task. It can be especially helpful with mailing in industries where data security is of the utmost importance. You can find vendors that specialize in different sectors and industries, including data security, to ensure privacy and go a long way to delivering peace of mind for you and your customers.

The newest to the mix, hybrid solutions, can help you mix physical and digital delivery, and is suitable for any mail volume. Certain solutions may even offer a variety of desirable delivery methods in addition to traditional mail. Take for example, Neotouch by Quadient. You can send a single document or a thousand in no time. It gives you the power to print, sort, stuff and meter envelopes, as well as have them delivered to the Post Office™ without leaving your desk.
